Privacy and security
What is private and what is public in Matchai, who can see your records, how AI features use your data, and how to delete your account.
This page explains, in plain words, how Matchai treats your information. It is a summary. The privacy policy and the terms of service are the full and binding versions.
What is public, and what is private
Nothing you create is public until you choose to publish it.
Public, once you publish it:
- Your listings. A listing stays a private draft until you publish it. Only published listings can be seen by visitors.
- Your Matchai Site. Once published, it shows your profile and your published listings, never your drafts.
- Your Matchai Page. It is created unpublished. Nobody can see it until you publish it.
- Your profile, such as your name, photo and professional details, which other people on Matchai can find.
- Files you choose to make public: a document you publish on a published listing's page, and the files you add to your Matchai Page. See Sharing and drop links.
Private:
- Your conversations. Only the people in a conversation can read its messages and open its files.
- Your contacts, and everything you record about them.
- Your files in Matchai Cloud. They are private by default.
- Your drafts, and anything you have not published.
Who can see what
The people you work with. When a team owns a listing or a project, every member of the team can see it and work on it. Everyone in a conversation sees what is shared in it. In Matchai Cloud, a place's Share button shows exactly who has access.
The people in your contacts. Leads, clients and peers can see that they are connected with you. They can never read what you keep about them: your notes, the details you entered, their stage in your pipeline, their budget. Your records are yours.
Matchai's team. Staff access to personal information is limited to the people who need it to run and support the service.
Your listing analytics show how many people viewed your listings and where they came from. Visitors stay anonymous: you never see who they are.
AI and your data
Matchai's AI features, such as building a listing from your photos, transcribing what you dictate or drafting a message, process your content to produce what you asked for. The result is not shown to anyone else unless you publish it or send it.
To do that work, your content is sent to the AI providers that power these features. Matchai's agreements with them do not allow your content to be used to train their models. The privacy policy names each provider and describes one exception, for the automatic repair of a saved browser task, which you can ask us to turn off for your account.
When you dictate instead of typing, the recording is not kept once it has become text.
Your assistant asks first
In closed betaYour assistant asks you before anything that leaves Matchai or changes your work. For some actions you can choose Do it and tell me instead, and undo them afterwards. Before it presses a final button on a website, one that signs, pays, sends, publishes or deletes, it always asks you. See Websites.
What your assistant remembers about how you work is kept as plain pages you can read, edit and delete, in your assistant's memory. It never holds facts about a contact or a listing. See Matchai Assistant.
Who else handles your data
Matchai relies on service providers to run: hosting and databases, search, email, text messages, payments, maps and AI, among others. Each one processes your data only to provide its service to Matchai. The privacy policy lists every provider and what it receives.
- Matchai does not sell your personal information, and does not rent or trade it.
- Your payment details go directly to the payment processor. They never reach Matchai.
- Your mobile number and text-message consent are never shared for anyone else's marketing.
- There are no advertising cookies or tracking pixels in Matchai.
The first time you visit, Matchai asks about cookies under Cookie preferences. Choose Reject all, Customize or Accept all. Rejecting turns analytics off. Cookies that keep you signed in are always on, because Matchai cannot work without them.
How your account is protected
- Encrypted in transit. Everything between your device and Matchai travels encrypted.
- Access rules in the database itself. Every request is checked so that each person can reach only what they are allowed to see, whatever screen it comes from.
- Your password. A password has at least 8 characters. To change it, open Settings → Account and choose Change password. If you signed up through a provider such as Google or Microsoft, use Forgot password? on the sign-in page to set one.
- Sign out everywhere. Log out ends your session on every device where you are signed in.
- Protection against bots on sign-in, sign-up and other sensitive actions.
For the ways to sign in, see Create your account.
Report a problem or block someone
If someone is abusive, or a listing, photo, document or message does not belong on Matchai, report it from inside the app. Matchai never tells the person that you reported them, and reviews every report within 24 hours.
- A message: right-click it on a computer, or press and hold it on a phone, then choose Report message.
- A person: open your conversation with them, open its details, then choose Report this person.
- A listing: open it and choose Report this listing.
- Block someone: in the conversation details, choose Block. Once blocked, neither of you can send the other messages, appointment requests or invitations. Unblock reverses it. Settings → Blocked lists everyone you have blocked.
Your rights
You can ask for a copy of your data, or have it corrected, by writing to privacy@matchai.co. The privacy policy explains the rights you have where you live, including in Québec, Canada, the European Union and the United States, and how to exercise them.
Delete your account
You can delete your account yourself, in Settings → Account, with Delete account. Matchai shows you what will be removed, including how many files, before anything happens.
Deleting your account permanently removes your profile, your listings with their photos and documents, your saved properties, your contacts, your appointments and your files. It cannot be undone. Messages you sent stay in the other person's copy of the conversation, but are no longer linked to you. Any active subscription is cancelled first.
After deletion, Matchai keeps your phone number on its do-not-text list, so nobody can have Matchai text you again by typing it in.
The full steps, and what to do first if you own a team, a project or a shared listing, are in Create your account. If you cannot sign in, write to support@matchai.co from the address on the account.
