Which actions the Matchai Assistant asks you about first, what you can let it do on its own, why final buttons always ask, and how to undo.
The assistant reads freely, so it can answer you. Anything that leaves Matchai or changes your work waits for your yes. This page explains how that works, what you can let it do on its own, and what always asks.
What asks first, and what does not
| The assistant… | Asks first? |
|---|---|
| Reads your listings, contacts, calendar, conversations, documents, projects and teams | No. Reading changes nothing. |
| Searches the public web or reads a public page | No. |
| Drafts a reply or an email for you to read | No. Nothing is sent. |
| Sends a message, an email or a document, starts a conversation or invites someone | Yes, every time. |
| Books or reschedules an appointment | Yes, every time. |
| Creates, edits, publishes, archives or moves a listing, or changes its photos and rooms | Yes. |
| Edits, stages or sharpens a photo, or puts the result on a listing | Yes. |
| Files, moves, tags, publishes or trashes a document, or creates an upload link | Yes, unless you let it trash documents on its own. |
| Adds a contact, creates a team or a project, or adds people to one | Yes. |
| Saves, changes, restores or deletes a skill | Yes, every time. |
| Remembers a preference you state | No, by default. The card in the chat has Undo. You can make it ask. |
| Presses a final button on another website: pay, send, publish, sign, delete or submit | Yes, every time, for every press. |
To see this for every tool, open the assistant's Settings with the gear, then Tools. Each tool that waits for you is marked Asks you first.
Answer an approval card
When the assistant wants to act, it puts a card in the chat that shows exactly what will happen: the recipient and the exact words of a message, the time and timezone of a booking, the current value beside the new one for a listing change. Then it waits, for as long as it takes.
- Choose the main button to go ahead. It says what will happen, such as Send it, Book it or Make the change.
- Choose Not now to say no.
- Choose Change something to say what to change, such as "make it 449 instead", then Send that. Never mind closes it.
When several cards wait at once, answer each one, then choose Send my answers. Until you send them, Undo on a card takes your choice back. Cancel all and revise drops them all so you can say what you want instead.
If a card cannot check everything it is about to change, its main button stays off. It never asks you to approve something it cannot show you.
Choose whose name it goes out under
For messages, emails and new conversations, you choose how they go out. Open the assistant's Settings, choose Tools, then Messages and email, and open the tool:
- Draft only: it writes it for you, and nothing goes out until you press send yourself.
- Send as me: it goes out under your name. You still approve every message.
- Send as my assistant: it goes out as your assistant, so the other person knows. You still approve each one.
Unless you change it, messages and emails go out as your assistant. For appointments, under Calendar and people, choose between Draft only and Book it for me, which books once you approve and notifies everyone invited.
Let it act without asking
A few actions can be set to go ahead on their own, because each one can be put back exactly as it was and nobody else is told. Open the assistant's Settings, choose Tools, open the tool, and under When it needs to act, choose:
- Ask me every time: nothing happens until you approve it.
- Do it and tell me: it goes ahead on its own, and a card in the chat tells you what it did.
| Tool | Unless you change it | When it acts on its own |
|---|---|---|
| Remember something you said | Do it and tell me | The card shows the line, with Undo. |
| Write a memory page | Ask me every time | The card shows the lines it added and took out, with Undo. |
| Put a document in the trash | Ask me every time | The card names the file, with a Restore button. It stays in the trash for 30 days. |
Some things never act on their own, whatever you choose. Changing your mind about a remembered line, and forgetting, always ask. Nothing that reaches another person ever goes out without your yes.
Approvals for a skill
A skill that works on websites can start its browser tasks without a card for each one:
- Typing the skill, such as
/montreal-property-assessment, is your go-ahead for its tasks on the websites it lists. - When the assistant picks the skill itself, it asks once with a Skill run card: which sites, how many browser tasks and for how long. Choose Start the skill. For the next hour, its tasks on those sites start on their own after a short countdown, with Stop on each card.
- Stop the skill ends the approval at any time. Changing the skill ends it too.
Even inside an approved skill run, every final button still asks.
Final buttons always ask
When the assistant works on another website for you, it fills in forms, saves drafts, moves through steps and downloads files on its own. Before a final button, one that signs, pays, sends, publishes, deletes or submits, or that confirms, orders or authorises, it stops and asks: "Ready to press « Send »?". Choose Press it, or Not yet to take the page yourself. A payment shows the price beside the question. Before it attaches one of your files to a website, it asks too.
A yes covers that one button for the rest of that one task. The next task asks again.
Why it works this way
A final button cannot be taken back: a payment is made, a form reaches a third party, a message reaches a client. Saving a draft or going to the next step can, which is why those do not ask, and why the questions you do get are worth reading. A yes for one client's task never presses a button in another client's task.
What can never approve for you
- Memory. Nothing in your memory can approve an action or tell the assistant to skip asking.
- Skills. A skill cannot say "without asking": the assistant refuses to save one that does.
- What it reads. A message, a document or a web page that tells the assistant to do something is shown to you, never followed.
Why it works this way
Your approval only means something if it comes from you. Memory and skills are read before the assistant acts, and anything it reads could have been written by someone else. If any of them could stand in for your yes, a single line you never saw could send a message in your name.
Approve out loud
In hands-free mode, the assistant reads the card aloud, naming who it goes to, and you answer yes, no or what to change. If it cannot tell what you said, it asks again once. If it still cannot tell, the card waits for you to tap it. A misheard answer never approves anything. See Talk to the assistant.
Undo and check what it did
- Undo on a memory card takes back that one save. See Memory.
- Restore brings a document back from the trash, for 30 days.
- Most other changes are undone by asking for the opposite: move the photo back, publish the listing again, rename the room back. The tool's details in Tools say how.
- A message, an email or an invitation cannot be unsent. That is why it always asks first.
Activity, in the assistant's Settings, lists everything your assistant has done for you, and everything it tried to do and didn't, including actions refused because a tool is set to Draft only. Each row says whether you approved it, and whether it went out under your name or as your assistant. Tick Also show what it looked at to see what it read too.
