Assistant memoryIn closed beta
What the Matchai Assistant remembers about how you work, what it never keeps, and how to read, edit, undo or delete its memory.
The assistant keeps a memory of how you work: how you like to reach clients, who is on your team, the routines you keep, the steps you follow at each stage of a deal. It reads this memory before every reply, so you do not have to repeat yourself.
Memory is a set of plain pages. You can read every one of them, edit them, undo a change and delete them.
What it remembers
| Page | What it holds |
|---|---|
profile.md | Who you are and how you work. The setup interview writes it. |
preferences/ | One line per preference, on a page per topic, such as communication, scheduling, listings or documents. |
business/ | Your team and what each person handles, the tools you use outside Matchai, and your service standards, such as response times and reminders. |
procedures/ | Checklists you follow, step by step, such as what you do when an offer is accepted. |
How a line gets there
- You say it. Tell the assistant "remember that I always text clients after 6 pm". It saves one line, in your words, tidied into a clean sentence but never widened. A card appears in the chat with the line, the page, Undo and View.
- The setup interview. Until your memory has a profile, a new chat offers to Teach your assistant about your business: five questions, about three minutes. Choose Start, or Later. If you skipped it, Finish setup on the memory page brings it back.
- After your conversations. When a conversation goes quiet, and again overnight, the assistant reviews what you said and tidies its memory. When it changed something, the chat says that your assistant updated its memory overnight, with View to see what changed. Anything it is not sure of goes to your Inbox for you to decide.
- You write it. You can add or edit any page yourself, as described below.
When something you say contradicts a line it already has, the assistant asks you first. If you confirm the change, a card shows the line that goes and the line that takes its place, and waits for your yes, even if you let it save on its own. The old line stays on the page, struck through.
What it never keeps
- Facts about a contact, a listing or a deal. A phone number, an email address, a client's budget, a listing's price or address, the status of a deal. Those live on the contact, the listing and the project, and the assistant reads them fresh every time.
- Secrets. Passwords, codes, card numbers and other identifiers.
- Instructions about its own rules. A line such as "don't ask me before sending" is refused.
- Anything it read. A document, a message or a web page. Memory is what you tell it, not what it found.
These rules apply to pages you edit yourself too. If a save is refused, Matchai says why, for example: "Details about a contact or a listing belong on the contact or the listing."
Why it works this way
A remembered price is last week's price, and nobody can tell it has gone stale. So facts about your clients and listings are always read live from where they belong. Memory is also read before every reply, which makes it a powerful place: that is why it never holds secrets, and why nothing in it can ever approve an action or tell the assistant to skip asking you.
Open your memory
At the top of the assistant, open Settings with the gear, then choose Memory.
Choose Open memory. You can also choose View on any memory card in the chat.
The memory page has a Personal tab, a tab for each team you are on, an Inbox and an Activity tab. The pages are listed on the left. On a phone, choose All pages to go back to the list.
Edit a page
Open the page and choose Edit.
Change the text, then choose Save. Cancel leaves the page as it was.
If the assistant saved something on the same page while you were editing, Matchai tells you the page changed and asks you to reload it, so you never overwrite a line without seeing it.
Add a page
Choose New page.
Pick a Folder, then type a Page name: lowercase letters, numbers and dashes. Spaces become dashes.
Add a Title (optional), write the Page, then choose Create page.
Undo and history
- Undo on a memory card takes back that one save, and nothing saved after it. If the save replaced a line, the old line comes back. If the page has changed in a way that cannot be cleanly reversed, Undo is turned off and the card says why.
- History on each page lists every version and who wrote it: you, your assistant, your assistant overnight, or the setup interview. Choose Restore to bring back an earlier version.
Ask it to forget
Say what to forget, such as "forget that I don't work Sundays". The assistant shows you the exact line, or the whole page, on a card and waits. Choose Forget it to confirm.
Forgetting a line keeps the page's history. Forgetting a whole page removes the page and its history.
Choose whether it asks before saving
By default, the assistant saves a line as soon as you state a preference, and the card in the chat is your notice, with Undo. To see each line before it is saved:
At the top of the assistant, open Settings, choose Tools, then Memory and skills.
Open Remember something you said and, under When it needs to act, choose Ask me every time.
Write a memory page, for a whole page such as a checklist, asks first unless you choose Do it and tell me. Changing your mind about a line, and forgetting, always ask.
Team memory
Each team you are on has its own tab, with pages the whole team shares. Only a team owner or admin can change a team page. If you are not one, Matchai tells you so when you try to save.
The assistant never writes a team page. When something you said belongs to the whole team, it drafts a suggestion and shows you the team, the title, the whole page and the reason first. Choose Send the suggestion to file it in the team's Inbox, under your name. A team owner or admin then chooses Accept or Dismiss.
Your inbox
The Inbox holds pages the assistant suggested but did not write: suggestions for a team, which a team owner or admin decides, and lines the assistant was not sure enough to write on its own, each with its reason. Nothing changes until someone chooses Accept. Dismiss turns a suggestion down so it is not proposed again.
Export or delete your memory
- Export downloads every page you can read, team pages included, as text files in a zip file.
- Delete page, on an open page, asks Are you sure?. Choose Delete to remove the page and its history, or Keep.
- Delete all removes all of your own pages and their history, and dismisses the suggestions waiting in your inbox. Your teams' pages stay, and so do your skills.
Deleting cannot be undone
A deleted page, and everything removed by Delete all, cannot be brought back. Export your memory first if you might want it later.
On the memory page, choose Delete all.
Matchai asks you to confirm. Choose Delete all again, or Keep to leave everything as it is.
When you delete your Matchai account, your memory is deleted with it.
