# Matchai Cloud

> Every file for every deal, already filed by listing, contact, team and project. Private by default, at your own address on matchai.cloud.

Source: https://matchai.co/docs/guide/cloud

Matchai Cloud holds the files you work with: listing photos, promises to purchase, inspection reports, anything sent in a conversation and anything your assistant saved for you. You rarely file anything by hand. A file lands in Cloud already attached to the deal it came through, because it arrived through that listing, that client or that project.

## Open Matchai Cloud [#open-matchai-cloud]

Cloud has its own address, made from your username: `yourname.matchai.cloud`. If your username has an underscore, the address uses a hyphen instead, so `jane_doe` becomes `jane-doe.matchai.cloud`.

<Steps>
<Step>
In your workspace, select your profile picture and choose **My cloud**. Cloud opens in a new tab, so your workspace stays open beside it.
</Step>
<Step>
The first time you open Cloud in a browser, sign in with your Matchai account. When Cloud offers **Continue with your Matchai account**, choose it: you go to `matchai.co` to confirm, then straight back to your files.
</Step>
</Steps>

You can also go to `matchai.cloud` and choose **Open**. In a conversation's details, the **Open in Cloud** button takes you straight to that conversation's files. **Back to workspace**, at the top of Cloud, returns you to Matchai.

You use the same Matchai account everywhere. There is nothing extra to create.

<Callout title="Why it works this way">
Matchai Cloud lives on its own domain, separate from `matchai.co`. Browsers keep the sign-ins of two domains apart, so being signed in to your workspace does not sign you in to Cloud. You sign in to Cloud once per browser, and it remembers you after that.
</Callout>

Your Cloud is yours alone. Nobody else can open your address, not even someone you work with. They see the files you share with them in their own Cloud.

## How your files are organised [#how-your-files-are-organised]

Cloud shows everything as one tree, grouped into buckets. The buttons for the buckets sit in the bar at the bottom of the screen, on a computer and on a phone.

| Bucket | What it holds |
|---|---|
| **Assistant** | Files your assistant saved for you, grouped by the conversation they came from. |
| **Listings** | One folder per listing you work on, yours and the ones shared with you through a team. |
| **Studio** | Photos your assistant edited for you, and the videos you made in Studio. |
| **Matchai Page** | The files you offer for download on your Matchai Page. Unlike everything else in Cloud, these are public. |
| **Leads**, **Clients**, **Peers** | One folder per contact, with the files from your conversation with them. |
| **Teams**, **Projects** | One folder per team or project, with the files from its conversations. |

At first, every bucket is shown. Press a bucket's button to hide it or show it again, and the tree narrows to what you want to see.

Inside a listing, files are split in two:

- **Private** holds the listing's working documents. Only you and the people who work on the listing can open them.
- **Public** holds what buyers see: the listing's photos, and any document you choose to publish on the listing page.

Inside each side, files are sorted into folders by type, such as **Documents**, **Photos** and **Video**. Cloud creates and fills these folders for you.

### File names [#file-names]

Cloud names a file by what it is, not by the name it arrived with. `scan0014.pdf` can show as a seller's declaration. To set or change what a file is, open its menu and choose **Change tags…**. The **Kind** tag becomes the name Cloud shows. The original file name never changes.

## Add files [#add-files]

Most files arrive on their own: sent in a conversation, added to a listing, or sent to you through a [drop link](https://matchai.co/docs/guide/cloud/sharing-and-drop-links#drop-links). You can also add files yourself.

<Steps>
<Step>
Open the listing, contact, team or project the file belongs to.
</Step>
<Step>
Choose **Add files** and pick your files. On a computer, you can also drag files from your desktop onto a folder in the tree.
</Step>
<Step>
For a listing, choose **Private** or **Public**. For a contact, team or project, Cloud tells you who will be able to open the file, and for a project it asks which conversation the file goes into.
</Step>
</Steps>

Each file can be up to 100 MB, and you can add up to 20 files at a time.

<Callout title="Why it works this way">
A contact, a team or a project keeps its files in its conversations. So a file you add to a lead's folder goes into your conversation with that lead, and everyone in that conversation can open it. Cloud names who will see the file before anything is sent. A listing has no conversation, so its files go into its own folders, and **Private** stays between you and the people working on the listing.
</Callout>

If you are sure of what you are doing and do not want the question every time, open **Settings** in Cloud and turn on **Send to the conversation without asking**. The setting stays on the device where you change it.

### One file, several places [#one-file-several-places]

To file a document in a second place, open its menu and choose **Add to another place…**. The file stays where it is and appears in the new place too. Cloud stores it once, so it counts once toward your storage. Its details show every place it is filed under **Appears in**.

## Open, download and remove files [#open-download-and-remove-files]

Select a file to preview it. PDFs, images and many office documents open right in Cloud. From a file's menu you can:

- **Open** it full screen, or **Download** a copy.
- **Change tags…** to set what the file is.
- **Change who can see it**. See [Sharing and drop links](https://matchai.co/docs/guide/cloud/sharing-and-drop-links).
- **Remove from** a place, which takes it out of that one place only. If the file is filed elsewhere, the menu tells you how many other places it stays in.
- **Move to trash**. A trashed file can be restored for 30 days.

The menu only offers what you are allowed to do. Someone with view-only access can open and download files, but cannot rename, move or remove them.

A file you sent in a conversation can also be deleted from the conversation itself, with **Delete from conversation**. This deletes the message it came in.

## Storage [#storage]

The ring in the bottom bar shows how much of your storage you use. Select it to open **Storage**.

- The meter shows how much you store out of what your account allows.
- A file filed in several places counts once. Removing it from one place does not change your storage.
- Files in the trash still use storage until they are removed for good, 30 days after you trashed them. **Go to trash** shows them, and **Restore** brings one back.

### Earn free space [#earn-free-space]

Under **Earn free space**, copy your invitation link or send it by WhatsApp or SMS. When someone you invite joins and adds their first file to Cloud, you both get extra storage, up to a maximum shown on the card.

### Add more storage [#add-more-storage]

On the web, **Add more storage** on the **Storage** page lets you buy more room. Use **More storage** and **Less storage** to choose a size. The monthly price shows beside it before you confirm with **Add storage**, or **Update plan** if you already have one. Storage is billed monthly, shared across your whole account, and you can cancel at any time from the billing portal in **Settings → Billing**. See [Matchai Store](https://matchai.co/docs/guide/energy-and-billing/matchai-store#billing).

Buying storage is not available in the Matchai app for iPhone and Android. The meter, the trash and **Earn free space** work there as everywhere else.

## Activity [#activity]

**Show activity** opens a feed of what happened to your files: who filed, sent, renamed, trashed or restored what, and where. On a phone, Activity opens as its own page.

## Cloud settings [#cloud-settings]

Choose **Settings** at the bottom left of Cloud. The settings there apply to Cloud only. Your workspace settings stay in Matchai.

- **Send to the conversation without asking** skips the question before a file goes into a conversation.
- **Drop links expire after** sets how long a new drop link stays open. See [Sharing and drop links](https://matchai.co/docs/guide/cloud/sharing-and-drop-links#drop-links).
- On a computer, you can set the tree's spacing and text size. On a phone, pinch the tree to resize it.
